9 Nov 2006 - PARISH COUNCIL COMMUNICATIONS
Objective
At the inaugural PC mtg in June the PC discussed methods for improving communication with the Villagers. It was noted that several methods were already in operation and the Council decided to give further consideration to those and other additional opportunities that may exist. This paper briefly outlines the current and potential opportunities together with proposals for future developments.
Current Methods and Opportunities
1. Shenington Green
a. Content, Summaries of meetings, activities and contacts are published in this well circulated and read magazine.
b. Limitations, Limited frequency and content.
c. Benefits, Widely circulated and read.
d. Opportunity, Could expand content and/or add council flyers for circulation with SG.
2. Notice board in Bus stop and Alkerton Village
a. Content, All formal PC communications displayed.
b. Limitations, Has to be visited to be read.
c. Benefits, Easily maintained with a comprehensive display.
d. Opportunity, Additional locations could be considered
3. Web site
a. Content, All formal PC communications.
b. Limitations, Has to be visited to be read.
c. Benefits, Easily maintained and controlled comprehensive content.
d. Opportunity, Expand awareness.
Could e-mail contacts when key changes are made.
4. Occasional circulars when required
a. Content, Only used for very specific and important matters.
b. Limitations, High effort to circulate
(unless linked to something else eg. Shenington Green).
c. Benefits, Reach all households.
d. Opportunity, Shenington Green
5. PC Meetings.
a. Content, Villagers attending meetings gain first hand knowledge of current issues.
b. Limitations, Only those who attend become informed
c. Benefits, Two way and immediate communication.
d. Opportunity, Encourage greater attendance?
6. e-Mail circulation
a. Content, An e-Mail circulation exists where people can be added at their request
b. Limitations, Only those who request circulation are on the list
Do folks know about this opportunity?
c. Benefits, Easy to maintain and comprehensive
d. Opportunity, Promote this method to gain a wider circulation.
7. Banbury Guardian
a. Content, A summary of meeting proceedings published.
b. Limitations, restricted content and requires an interest from the receiver to find it within the Guardian.. Not all take the Guardian
c. Benefits, Easily accessed for those who are interested
d. Opportunity, None
Recommendations
1. E-Mail presents the greater development opportunity -awareness of this opportunity should be promoted at all opportunities. Recommend more prominent invitation in the Shenington Green.
2. Current methods should not be reduced
3. If there is a specific message to the village where delivery time is flexible, the Shenington Green is to good to miss !
4. Do not restrict communication to a single route, considered each on it's own merits when communication is required.
